Charter Renewal Resources

Scouting America offers an easy straightforward process for renewing units online or in person. Michael Smith, the Registrar/District Assistant with Erie Shores Council is available to help units with this process.



Charter Renewal Due Dates


All registered units within Erie Shores Council need to complete a charter renewal on an annual basis. Units should try to complete their recharter at least 3 weeks before the unit charter expiration date, in order to give the Council enough time to process/review everything. This also gives the unit a buffer in case paperwork is missing or troubleshooting is needed.


Please note that units can start renewing their unit recharters 60 days out from their unit expiration date. All charter paperwork must be completed and turned into Michael Smith, Registrar/District Assistant.


Charter Due Dates for 2027:

  • December 11, 2026

  • January 8, 2027

  • February 12, 2027

  • March 12, 2027



Charter Renewal Fees


The annual charter renewal fee for a unit is $100.00.


Charter renewal fees can be paid online with a credit card (a small processing fee will apply) or ACH (bank checking transfer). Payments can also be made at the Iott Scout Shop or by calling the Council Registrar/District Assistant at (419) 843-0106.



To Renew a Charter Online:


  1. A Unit Key 3 member (or a Key 3 Delegate) is in charge of the charter renewal process. Only one person should be completing this task.

  2. Access the Unit Renewal page (Chrome is the recommended search engine to use)

    1. Log into your My.Scouting account

    2. On the main screen go to Organization Manager

    3. Click "Unit Renewal" on the menu (if you serve as a Unit Key 3 in more than one Unit, confirm that you are working on the correct Unit).

    4. Check to make sure the charter organization information is correct and that all of the key leadership positions are filled in the Unit.

      1. Key leadership positions: Executive Officer, Chartered Organization Representative, Committee Chair, Unit Leader (Cubmaster/Scoutmaster/Crew Advisor), Committee Members - 2, Den Leader (Packs only).

    5. Click on Validate to see if there are any errors or warnings that need to be corrected. Note: you won't be able to proceed forward until all errors have been cleared.

  3. Once the Unit Renewal page has been validated, enter your digital signature at the bottom of the page. Select the Pay at the Council Office option if your Unit plans on paying their charter renewal fee at the Council offices

    1. Download a copy of the Unit Renewal page by printing the main screen or downloading a copy of the page if you choose to pay at the Council Offices.

  4. Click on Unit Pin Review to review the pin information for your Unit. Make sure all of the information is correct.

  5. Finally, select the payment option if you are paying the charter fee online.



Council Paperwork Submissions:


Completed Charter Renewal - Traditional Units (Crews, Packs, Troops)

  1. Annual Unit Charter Agreement

    1. Signed by the Executive Officer, Chartered Organization Representative, Committee Chair, and the District Executive

    2. The District Executive can sign the agreement after it has been submitted

  2. Unit Renewal Paper

    1. Signed by any member of the Unit Key 3 (Chartered Organization Representative, Committee Chair, Scoutmaster/Cubmaster/Crew Advisor)

  3. Charter Renewal Fee


Completed Charter Renewal - Explorer Posts

  1. Annual Memorandum of Understanding (Explorer Posts only)

    1. Signed by the Executive Officer and Exploring Representative

  2. Unit Renewal Paper and Charter Renewal Fee (see steps #2 and #3 above, under traditional Units)


All of the supporting documentation and the charter renewal fee (unless paid online) must be turned into Michael Smith, Registrar/District Assistant, before the charter renewal is submitted to National for processing.
